Data Retention & Deletion Policy
Version 1.2 — Last updated: May 31, 2026
Compliance & Regulatory Summary
This document provides a clear, structured framework regarding the retention limits, storage methodologies, and irreversible deletion of customer operational data. This policy has been fully designed to align with the **General Data Protection Regulation (GDPR - EU 2016/679)**, securing corporate and customer compliance at every stage of the partnership.
Data Lifecycle Overview
Onboarding
Optional import of historical data up to 1 year when setting up the store account.
Active Retention
Data retained up to 2 years. Adjustable down to a minimum of 6 months upon request.
Offboarding
30-day grace period upon service termination. Followed by permanent, irreversible deletion.
* Data retention periods can be customized under a specific written agreement with the company (for example, retaining up to 5 years of historical data to achieve better forecasting results).
1. Onboarding Phase (Data Import)
During account onboarding and initial parameters configuration, customers can optionally upload historical business metrics (sales history, waste logs, and production records).
- Maximum Historical Limit: Import of past data is limited to a maximum of one (1) year prior to the sign-up date.
- Processing Purpose: This historical data is processed solely to immediately train prediction algorithms and establish baseline forecast accuracy.
2. Active Data Retention Period
During the active term of the client's subscription, Wasty enforces clear operational data retention limits:
- Standard Retention Limit: Active business metrics are automatically stored for a maximum period of two (2) years.
- Customization Right: Clients have the right to request a reduction in this retention period at any time.
- Minimum Security Bound: Retention cannot be configured lower than a minimum of six (6) months, in order to maintain baseline forecasting algorithm utility.
3. Service Offboarding & Final Deletion
Upon termination or cancellation of the customer subscription, the following secure offboarding protocol takes effect:
- 30-Day Grace Period: Following cancellation, data enters a secure thirty (30) day grace period. During this window, all customer data remains safely encrypted, inactive, and offline, allowing the client to request recovery or export metrics.
- Permanent Deletion: Upon the expiration of the 30-day window, all client data (including user credentials, sales logs, production targets, and configurations) is permanently and irreversibly expunged from production databases and backup repositories within 7 business days.
4. Retention Quick Reference Table
| Lifecycle Stage | Retention Limit | Action / Status |
|---|---|---|
| Onboarding | Up to 1 year (past history) | Optional import of past metrics |
| Active Use | Up to 2 years (Minimum 6 months) | Automated rolling cleanup / Adjustable |
| Offboarding Grace Period | 30 days | Inactive encrypted storage |
| Permanent Purge | Immediate (Irreversible) | Complete removal from database & backups |
